Privacy Policy

Last updated: June 2026

Exact Visa Solutions ("we", "us") respects your privacy. This policy explains how we collect, use, store and disclose personal information, consistent with the Privacy Act 1988 (Cth) and the Australian Privacy Principles, and with the confidentiality obligations of the Code of Conduct for registered migration agents.

What we collect

When you contact us or become a client we may collect information including your name, contact details, preferred language, visa and immigration history, and — where relevant to your matter — identity, family, employment, education, health or character information. We collect this directly from you, or from third parties you authorise.

Why we collect it

How information is stored

Enquiry data submitted through this website is stored in our customer relationship management system (HubSpot) and our email system (Microsoft Outlook). Client files are stored securely, and access is limited to the practice. Some service providers may store data on servers located outside Australia; where that occurs, we take reasonable steps to ensure comparable protection.

Disclosure

We disclose personal information only with your authority (for example, to the Department of Home Affairs as part of your application), where required by law, or to service providers who help us run the practice under appropriate confidentiality arrangements. We never sell personal information.

Sensitive documents

Please do not send passports, identity documents or other sensitive documents through the website enquiry form. If we work together, we will arrange a secure method for sharing documents.

Access, correction and complaints

You may request access to or correction of the personal information we hold about you by contacting jack@exactvisasolutions.com.au. If you have a privacy concern, contact us first; if you are not satisfied with our response, you may complain to the Office of the Australian Information Commissioner (OAIC).
